How to Brief a China Sourcing Agent: RFQ Checklist for Comparable Quotes

A sourcing agent cannot compare the right suppliers when each supplier is answering a different question. Start with one written brief that defines the product, quantity, quality evidence, packaging and destination.

The short answer

A useful China sourcing agent brief answers twelve questions before supplier comparison begins: what the product is, how it will be used, which specification matters, expected quantity, destination, sales channel, target cost basis, packaging, branding, compliance evidence, sample timing and required shipment timing.

The purpose is not paperwork. It is to make suppliers quote the same commercial requirement. When the specification is incomplete, a low price may represent a lighter material, different component, retail pack instead of export carton, or an assumption that will change after sampling.

Why “send me your best price” produces weak quotations

A product photo can start a search, but it rarely defines a purchase. Two visually similar items can differ in material grade, thickness, dimensions, accessories, finish, packaging or intended use. The difference may only become visible after a sample arrives—or after production.

A sourcing agent should turn the initial reference into written comparison fields. The buyer still owns the commercial decision and final approval. The agent's role is to identify unanswered questions, collect evidence and keep the approved requirement connected to the order.

When a field is unknown, write “to be confirmed” instead of guessing. That makes the open decision visible and lets the sourcing team ask a focused question.

How to compare supplier RFQs on one sheet

Place suppliers in columns and the approved requirements in rows. Keep the buyer requirement as a separate reference column so a cheaper answer cannot silently replace it. Each quotation should state:

Mark “not confirmed” rather than treating a blank cell as approval. A complete quotation is often more useful than the lowest headline price.

What changes after the sample?

The approved sample should become a reference, not the end of the specification process. Record its model, date, appearance, measurements, packaging and any approved changes. If the buyer requests a revision, update the written requirement and obtain confirmation before production.

For a repeat order, the current approved reference, previous inspection findings and packaging version are usually more useful than restarting from an old product link.
